OVERVIEW:

Our client, one of the largest Energy companies in the US providing a wide range of Energy-related products and services to its customers, seeks an accomplished Project Administrative Coordinator.

** TITLE: Project Administrative Coordinator

** LOCATION: Hybrid Role at 1 Blue Hill Plaza Pearl River, NY 10965

** DURATION: 6 months - high potential for extension as the team is looking for a long-term contractor

** SCHEDULE: 8am to 430pm EST M- F

Pay Rate: $25.00/hr. W2 - $30.00/hr. W2 (depending upon experience)

  • Hybrid 3 days in, 2 remotes (with possibly some need for 4 days onsite if needed but will not be the normal schedule.

Job Description:

  • Seeking a detail-oriented and organized Long-Term Temporary Administrative Support Assistant to join the Work Management System (WMS) Replacement Project Team. This individual will play a key role in supporting the teams daily operations by providing administrative assistance, coordinating onboarding activities for new team members, and assisting with documentation and communication tasks throughout the project lifecycle.
  • Provide day-to-day administrative support to the WMS replacement project team.
  • Coordinate onboarding activities for new project team members, including scheduling orientations, preparing documentation, securing IT equipment for contracted resources, and facilitating access to systems and resources.
  • Schedule and organize project meetings, prepare agendas, and capture meeting minutes as needed.
  • Maintain project documentation and team collaboration tools (e.g., SharePoint, Teams, etc.).
  • Assist with tracking deliverables, updating project timelines, and supporting project reporting.
  • Support internal and external communications related to the project.
  • Perform general clerical duties including data entry, file management, and correspondence.
  • Assist with other administrative or project-related tasks as assigned.

Job Requirements:

  • Admin or project support experience, especially in IT or large company projects
  • Good with Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Comfortable using SharePoint, Microsoft Teams
  • Very organized, good at multitasking
  • Able to work independently and also support a team
  • Strong communication skills (writing, email, calls)
  • Preferred Skills (Bonus): Experience working on IT projects or large system upgrades
  • Familiarity with project tracking tools (like MS Project or similar)
